Nanny Best Match

Privacy
Notice

This notice explains how we use personal information when providing nanny introductions, consultations and related support.

Last updated: 25 September 2026

01

Who we are

Nanny Best Match (“NBM”, “we”, “us”) is a London-based nanny introduction and consultancy service. We are the controller of the personal information described in this notice.

For privacy questions or requests, email hello@nannybestmatch.co.uk.

02

Information we collect

Depending on how you use our services, we may collect:

  • contact details, identity information and communication preferences;
  • family requirements, location, schedule, children’s ages, routines and care needs;
  • candidate work history, availability, preferences, CV, qualifications and professional documents;
  • information needed to review right to work, references, Enhanced DBS status and Paediatric First Aid;
  • consultation notes, enquiries, correspondence, interview and placement information;
  • booking, payment and transaction records; and
  • limited technical information provided when you visit or interact with our website and service providers.

Please do not provide information that is not reasonably needed for the service. We do not request an upload of a full DBS certificate at the first application stage.

03

How we use information

We use personal information to respond to enquiries, assess registrations, understand family requirements, evaluate candidate suitability, arrange calls and interviews, make considered introductions, support placements, provide consultations and contract guidance, take payment, keep appropriate records and protect the safety and integrity of our services.

We may contact you about a relevant opportunity or service you have requested. We do not make solely automated recruitment or placement decisions.

04

Our lawful bases

We process information where it is necessary to take steps at your request or perform a contract, comply with legal obligations, or pursue our legitimate interests in operating a responsible introduction and consultancy service. Where required for special-category information or optional marketing, we rely on an appropriate additional condition or your consent.

You may withdraw consent at any time. This does not affect processing that was lawful before withdrawal.

05

Who we share information with

When reasonably necessary, we may share relevant information with families, candidates, referees and professional advisers involved in a search or placement. We disclose only what is appropriate for the stage of the process and expect recipients to keep it confidential.

We also use trusted service providers for forms and records, scheduling, payments, email, document storage and website hosting. These currently include Airtable, Cal.com and Stripe. They process information under their own security and privacy arrangements.

We may disclose information where required by law, safeguarding needs or the establishment, exercise or defence of legal claims.

06

How long we keep information

We keep personal information only for as long as reasonably needed for the purpose collected, including follow-up opportunities, administration, safeguarding, accounting and legal claims. Candidate and family registration records are normally reviewed after 24 months without meaningful contact. Records connected with a paid service, placement, dispute or legal obligation may be retained longer, including financial records normally kept for six years.

You may ask us to delete information sooner. We will do so where there is no legal or overriding legitimate reason to retain it.

07

Security and international transfers

We use proportionate organisational and technical measures to protect personal information and restrict access to those who need it. No internet or storage system can be guaranteed completely secure.

Some service providers may process information outside the UK. Where this happens, we expect an appropriate legal transfer mechanism and safeguards to be used.

08

Your data protection rights

Depending on the circumstances, you may have the right to access your information, correct inaccurate information, request deletion or restriction, object to processing, receive certain information in a portable format and withdraw consent.

We may need to confirm your identity before responding. Data protection rights are not absolute, but we will explain if an exemption applies.

09

Contact and complaints

Contact hello@nannybestmatch.co.uk if you have a question, want to exercise a right or are concerned about how your information has been handled.

You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint.
